Duties

  • Greet visitors warmly and direct them appropriately, ensuring a professional and friendly atmosphere
  • Manage multi-line phone systems, answer inquiries promptly, and route calls efficiently using proper phone etiquette
  • Maintain a clean and organized reception area, including filing, data entry, and document proofreading
  • Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office and Google Workspace tools
  • Handle clerical tasks such as data entry, filing, proofing documents, and managing correspondence with accuracy
  • Assist with office management duties including supply inventory, basic bookkeeping with QuickBooks, and supporting administrative projects
  • Provide customer support by addressing inquiries via phone or email and ensuring excellent service standards are met

Experience

  • Previous office experience or clerical experience demonstrating strong organizational skills and attention to detail
  • Proficiency in computer literacy including Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), and basic data entry skills
  • Experience with multi-line phone systems and excellent phone etiquette is highly preferred
  • Bilingual abilities are a plus to effectively communicate with diverse clients and visitors
